Information for Attendees

Accessing the Attendee Virtual Conference Site (VCS)

Go to the Attendee VCS https://attendees.ourconference.ca and log in with your email address you registered with and your registration code. Your registration code was provided to you at the time of registration. If you no longer have it, please contact This email address is being protected from spambots. Prior to the Conference

Zoom Information

The conference workshops will be hosted in Zoom.

If you will be attending the conference from your workplace, make sure to check with your IT department well in advance to see if Zoom is permitted on your institutional computer and/or network. If not, please be sure to make alternative arrangements.

The conference organizing team has put together a Useful Zoom Features for Attendees document.

Registering for Workshops

Go to the Attendee VCS, see the heading Accessing the Attendee Virtual Conference Site.

Select the “Event Schedule” menu. To register for a workshop, select the “Register” button and on the next page, select “Confirm Change”.

To continue registering for sessions, navigate back to the “Event Schedule” menu.

If you want to change your selection, select the “Register” button in the same block of time and then “Confirm Change” for the new workshop you wish to attend.

During the Conference

Go to the Attendee VCS, see the heading Accessing the Attendee Virtual Conference Site.

If you have already registered for workshops, access your sessions by navigating to the “My Schedule” menu. At or before the start time for each session, click on the “Join Session” button beside the session. You will be prompted to open the meeting in Zoom.

NOTE: The presenter site access code and the attendee site access codes are NOT the same.

Prior to the Conference

Sessions are being run through Zoom, which requires the desktop version of Zoom to be installed on the device you will be using. If you plan on accessing the conference from your workplace, make sure to check with your IT department well in advance to see if Zoom is permitted on your institutional computer and/or network. If not, please be sure to make alternative arrangements.

The conference organizing team has put together a Useful Zoom Features for Presenters and Moderators document.

Accessing the Presenter Virtual ConferenceSite (VCS)

  • To review/edit your session details
  • To add extra information and upload files for your attendees
  • To view the list of attendees.
  • To retrieve your Zoom account login information and your Zoom meeting information
    • If you are presenting more than one session, you might have to access your sessions with different Zoom accounts.

Go to the Presenter VCS https://presenters.ourconference.ca/ and enter your email address connected to your workshop(s) and the presenter site access code (only available via emails received from This email address is being protected from spambots. Accessing the Zoom Account(s)

Access your assigned Zoom account (see Presenter VCS) from the web browser at zoom.us/signin (not the desktop app)

  • Note: The same account is being used by multiple presenters
  • Tip: ensure that the meeting you are about to access has the same Zoom meeting ID, date and time, as indicated in your Presenter VCSfor that session.

You have been assigned a Zoom account for your meeting(s) (If you are presenting more than one session, you might have to access your Zoom meeting sessions with different Zoom accounts, see the Presenter VCS information, under the “meeting” column for each of your sessions.

If you are signed into Zoom with your own account (or another presenter Zoom account), you need to sign out and sign in with the account assigned to your session(s). If you plan to attend sessions as an attendee, sign out and then sign in with your personal account to attend.

During the Conference

Hosting Your Sessions on Zoom

  1. To present your workshop, you must start the session’s Zoom meeting from the web browser at zoom.us/signin.
  2. Log in to Zoom from the web browser at zoom.us/signin using the credentials provided in the Presenter VCS. (Not your own personal Zoom account)
  3. Go to the tab Meetings and click the “Start” button for the corresponding meeting to your session.
    • Note: The same account is being used by multiple presenters
    • Tip: ensure that the meeting you are about to start has the same Zoom meeting ID, date and time, as indicated in your Presenter VCSfor that session.
  4. When prompted, click “Open Zoom Meetings” to open the meeting in the desktop client.
    • If you have a co-presenter, the fist one to open the Zoom meeting will be assigned as host and the other as the co-host.
  5. We strongly advise presenters to sign into their sessions (Zoom Meeting) 15 minutes prior to its scheduled start time. This will:
    • Allow you sufficient time to address any potential technical issues
    • Allow your moderator to quickly run through any expectations you may have (for example, how questions will be handled, etc.).
  6. Your moderator will run through a tech checklist to ensure everything in the session is working. The moderator will also be the primary point of contact between you and the Help Desk should issues arise.

  7. Make your moderator a co-host so that he/she can share a brief housekeeping presentation at the start of the session.

End Your Session on Time

The conference is running on a tight schedule. Because the same Zoom licenses are being used for multiple sessions, if your session runs over its scheduled time, you may cut into the next presentation’s preparation and technical check time. We ask you to be aware of the time and end your session on time.

The presenter site and access code and the attendee site and registration code are NOT the same.

When you attend sessions as an attendee, make sure you are signed out of your presenter Zoom account and then sign in with your personal account.
